Key Responsibilities
Email Management: Oversee and organize company email communications, ensuring timely responses and proper documentation.
Task Management: Utilize task management tools to assign, track, and ensure completion of tasks by team members.
Meeting Coordination: Schedule and set up virtual meetings, including team meetings, client calls, and project discussions.
Internal Communications: Facilitate clear and effective internal communication among remote team members, ensuring everyone is informed and aligned.
Document Management: Maintain and organize digital files and documents, ensuring easy access and proper version control.
Client Communication: Serve as a point of contact for client inquiries, ensuring professional and timely responses.
Project Support: Assist in the planning and coordination of projects, providing administrative support to project managers.
Report Preparation: Compile and prepare reports on various aspects of the company’s operations, including project status and team performance.
Resource Coordination: Manage the allocation and scheduling of company resources, including software tools and team member availability.
HR Support: Assist with HR-related tasks including onboarding new employees, maintaining personnel records, coordinating employee training, and supporting the recruitment process by scheduling interviews and communicating with candidates.
Team Support: Provide administrative support to the leadership team and other departments as needed, ensuring smooth operation of daily activities.
Preferred Qualifications
• Bachelor’s degree in Business Administration, Management, or a related field.
• Proven experience in an administrative or managerial role.
• Excellent organizational and time management skills.
• Strong written and verbal communication skills.
• Proficiency with task management and communication tools (e.g., Trello, Slack, Asana, ClickUp).
• Ability to work independently and manage multiple tasks in a remote work environment.
• High level of attention to detail and problem-solving skills.
